Frequently asked questions

The list of questions will be updated regularly as the system goes live.

How can I prepare for the new membership system?
  • Enter a unique, personal and functioning email address in the Volunteering email address field on Compass – this will be used as your username for the new system which is why it must be unique to you and not an email address accessible by others such as cubs@1stScouts or one shared with another family member. You can do this in the Edit Contact Details section of your profile on Compass.
  • If you would like communications to be sent to a different email address, please enter this in Scouting Enquiries email address field on Compass. You can do this in the Edit Contact Details section of your profile on Compass.
  • Please ensure that your address and postcode are also correct on Compass (you will not be able to save updates without entering your Ethnicity, Faith and Religion details)
  • Please check your roles show the correct sections that you are volunteering with, this is so you are added to the correct teams in the new membership system (so if you are helping at Cubs and Beavers you should have a role for both entered on Compass)

If you are missing roles or would like any of your details updating, please contact the Transformation team.

Visit this page on the Scout website for more information what you need to do to prepare for the new system.

Communications

All County Email – 18 September

Hello everyone,

Between October and December 2024, we are expecting to see the move to the new membership system. Ahead of this, we know that Compass access will be removed as data is transferred into the new system – this could be for 2 to 3 weeks. Whilst we do not have the exact date that this will happen yet, we need to make sure we are prepared in advance of the move and of course as soon as the date is known I will update you.

As a result, can you please make sure:

  • That new volunteers are added to Compass as soon as possible and DBS completed (once we lose access, no new volunteers will be able to be added until the new membership system is live)
  • You apply for renewal of DBS as soon as possible (in case we lose access, and this cannot be completed)
  • You apply for any permits (both adventurous activities and nights away) that may expire between October and December
  • You complete safety and safeguarding modules that are due to expire between October and December as soon as possible

Headquarters and our County Office are contacting everyone that may be affected by the loss of Compass access – so please make sure you check these emails and action any points raised.

Headquarters are also asking for the following to happen before the end of September:

  • Enter a unique, personal and functioning email address in the Volunteering email address field on Compass – this will be used as your username for the new system which is why it must be unique to you and not an email address accessible by others such as cubs@1stScouts or one shared with another family member.
  • If you would like communications to be sent to a different email address, please enter this in Scouting Enquiries email address field on Compass

You can do both of these within the Edit Contact Details section of your profile on Compass.

When in the Edit facility you can use the drop down menu to select the type of email address required as follows:

  • Please ensure that your address and postcode are also correct on Compass (you will not be able to save updates without entering your Ethnicity, Faith and Religion details)
  • Please check your roles show the correct sections that you are volunteering with, this is so you are added to the correct teams in the new membership system (so if you are helping at Cubs and Beavers you should have a role for both entered on Compass)

If you are missing roles or would like any of your details updating, please contact the County Office
